Who we are
Ovis is an online journal of art and literature published by Mohave Community College. Our website address is: https://ovis.mohave.edu.
What personal data we collect and why we collect it
Media
If you upload documents or images to the website, you should avoid uploading images with embedded location data (EXIF GPS) included. Visitors to the website can download and extract any location data from images on the website. Documents may include personally-identifying metadata that should be removed before they are uploaded.
Submission forms
When you submit to Ovis, we collect your name, phone number, email address, and home campus for the purpose of contacting you about your submission. We collect your IP address and a date and timestamp of your submission in order to validate your submission and identify and stop any misuse. Submissions to Ovis are securely collected and stored with an online tool called Office 365 Forms, which is an app of the company Microsoft. Microsoft processes your personal information in limited ways which are clearly described in detail in their privacy policy. We own and control your submissions data.
Cookies
We use cookies (small data files transferred onto computers or devices by sites) for record-keeping purposes and to enhance functionality on our site. You may deactivate or restrict the transmission of cookies by changing the settings of your web browser (e.g. Google Chrome, Mozilla Firefox, Microsoft Edge, Internet Explorer, iOS Safari, MacOS Safari). Cookies that are already stored may be deleted at any time.
Certain cookies are necessary in order for the site to operate correctly. For example, we use cookies to authenticate you. When you log on to our websites, authentication cookies are set which let us know who you are during a browsing session. We set these automatically.
If you have an account and you log in to this site, we will set a temporary cookie to determine if your browser accepts cookies. This cookie contains no personal data and is discarded when you close your browser.
When you log in, we will also set up several cookies to save your login information and your screen display choices. Login cookies last for two days, and screen options cookies last for a year. If you select “Remember Me”, your login will persist for two weeks. If you log out of your account, the login cookies will be removed.
If you edit or publish an article, an additional cookie will be saved in your browser. This cookie includes no personal data and simply indicates the post ID of the article you just edited. It expires after 1 day.
Embedded content from other websites
Articles on this site may include embedded content (e.g. videos, images, articles, etc.). Embedded content from other websites behaves in the exact same way as if the visitor has visited the other website.
These websites may collect data about you, use cookies, embed additional third-party tracking, and monitor your interaction with that embedded content, including tracking your interaction with the embedded content if you have an account and are logged in to that website.
Ovis makes use of fonts from Google Fonts, which does not set or collect any cookies from you when you use the Ovis website, but does log general information about when those font files are requested.
Analytics
When you visit our site, we will store: the website from which you visited us from, the parts of our site you visit, the date and duration of your visit, your anonymized IP address, information from the device (device type, operating system, screen resolution, language, country you are located in, and web browser type) you used during your visit, and more. We process this usage data in Matomo Analytics for statistical purposes, to improve our site and to recognize and stop any misuse. This processing takes place on our own servers and your data is never transmitted to third parties. Our analytics software respects the Do Not Track header you can set in your browser.
When you visit the Submissions page, the embedded Wufoo form will collect similar data from your browser in accordance with the SurveyMonkey privacy policy.
Who we share your data with
Your submissions are shared with Ovis editors and staff for the purpose of making editorial decisions and, if selected, publishing your work to the Ovis website. Server log data is accessible to and may be shared with Mohave Community College information technology staff for security and maintenance purposes. Analytics data is accessible to Ovis staff and never shared outside of Ovis staff.
Much of the information transacted on this website (including email sent to ovis@mohave.edu or Ovis staff) is a public record under Arizona state records keeping laws and is managed in compliance with the policies and retention schedules of the Arizona Secretary of State. As such, this information may be subject to disclosure in public records requests during the period for which is it retained (see below).
How long we retain your data
For users that register on our website (if any), we store the personal information they provide in their user profile. All users can see, edit, or delete their personal information at any time (except they cannot change their username). Website administrators can also see and edit that information.
Server log and analytics data is retained until administrative value has been served, generally for as short a period as possible. Ovis issues are public records and may be retained indefinitely. Information created and stored to facilitate the creation of an issue may be retained until their administrative value has been served.
What rights you have over your data
You can request that we erase any personal data we hold about you, including your analytics data. This does not include any data we are obliged to keep for administrative, legal, or security purposes.

How we protect your data
Ovis is built with strong security to protect your data. Ovis servers are secured with key-based credentials, and all traffic into and out of Ovis servers is encrypted with TLS. Ovis server software is continually updated with security updates.
